Position Title
Executive Assistant (Only Omani)
Description
As Executive Assistants, you will serve as an essential associate to the CEO. An ideal candidate will be a highly organized, self-motivated, and positive individual who welcomes the challenge and opportunity to advance the executive and corporate activities of the company leader to excellence. This position reports to CEO directly.
Responsibilities
Main Tasks & Accountabilities
* Quality, Health, Safety, and Environment:
- Ensure compliance to Quality and HSE policies and procedures by personal supervision action.
- To ensure a safe working environment and make safety suggestions if necessary.
*Support:
- Deliver timely and high-quality support services to the CEO.
- Ensure that the highest standards of confidentiality are maintained.
- Manage active and complex calendars, Schedule and manage appointments and prioritize meetings based on business objectives.
- Accurate recording and typing of minutes, correspondence, reports and notices as well as preparing presentations as a supporter to CEO.
- Create and Maintain good hard and electronic filing systems of all correspondence for the CEO in a secure location.
- Coordination of domestic and international travel programs for the CEO.
- Responsible for national and international company visits and related functions hosted by the CEO.
- Prioritizes conflicting needs by handling matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures, track and follow up on team deliverables.
- Maintain up-to-date contacts list for board members, key government staff, Suppliers, main customer, etc., and builds relationships crucial to the success of the organization.
- Coordinate expense claims and administrative costs relating to the CEO.
- Assisting the CEO with the compilation of the reports by collecting data from all departments and facilitating smooth communication between the CEO and internal departments.
- Assisting CEO with confidential projects.
- Assisting and supporting the CEO with all business needs.
* Additional Tasks:
- Undertake any other duties as requested by the CEO.
Qualifications
*Education Level – Minimum Requirement:
- A Bachelor Degree in Business/Administration is preferable or any other Bachelor's degree.
- A Diploma with specific secretarial experience for more than 5 years.
*Work Experience:
- More than 3 years of administration/secretarial experience dealing with senior employees
